The initial request was a standard packaging sourcing inquiry. However, Maibao quickly identified that this was not a single SKU purchase, but a multi-category packaging system upgrade project involving long-term procurement planning.

This marked the beginning of a structured collaboration.

The Customer Needed Faster Sample Confirmation

One of the most urgent requirements from the client was accelerated sample validation, driven by operational pressure from ongoing store expansion and seasonal demand peaks.

Why the Original Packaging Did Not Work

Before this project, the client relied on a fragmented supplier base across Europe, sourcing packaging from different vendors depending on product category and location.

This structure created several operational inefficiencies:

Creating a Better Unboxing Experience

Maibao repositioned packaging from a functional supply item to a brand experience system across all customer touchpoints.

For this project, the focus was placed on improving the unboxing and delivery experience, especially for takeaway and delivery customers.

Key enhancements included:

  • Unified visual identity across all packaging SKUs
  • Improved tactile quality through upgraded materials
  • Structural refinements for cleaner opening experience
  • Consistent proportion design across cups, boxes, and containers

This helped the client transform packaging into a cohesive brand presentation system, rather than separate functional containers.

Solving Print Color Consistency Issues

A major technical challenge in this project was ensuring cross-SKU and cross-batch color consistency, which is critical for maintaining brand identity across multi-store operations.

The client had previously experienced issues such as:

  • Color variation between different packaging types
  • Visual inconsistency across reorder batches
  • Mismatch between printed cups, boxes, and takeaway containers

To solve this, Maibao implemented a controlled production system:

  • Centralized Pantone-based color standardization
  • Pre-production color proof approval for all SKUs
  • Strict batch-level production monitoring
  • Cross-category consistency checks before shipment

This ensured that all packaging products maintained a stable and unified visual identity across the entire system, regardless of material or structure.

From Sample Approval to On-Site Order Placement

After sample approval, the client conducted internal evaluations and tested the packaging in real usage After successful sample validation, the project moved into final commercial confirmation within a total cycle of approximately 2 months from initial inquiry to order placement (Q2–Q3 2025).

At this stage, the client consolidated requirements across multiple store groups and finalized a multi-SKU packaging system order.

The confirmed order included:

  • Approximately 8–10 packaging SKUs
  • A mix of cups, takeaway boxes, and food containers
  • Pilot production batch for multi-store rollout
  • Standardized packaging system for future scaling

Following final sample approval, the client completed on-site confirmation and immediately proceeded with order placement, reducing typical procurement delays seen in similar EU projects.

What This Project Taught Us About European Food Packaging Buyers

This 2025 Hungary project provided Maibao with deeper insights into how European foodservice operators approach packaging procurement at a multi-store level.

First, procurement is increasingly system-oriented rather than product-oriented, especially for operators managing multiple brands or store formats.

Second, decision-making is highly dependent on sample speed, physical validation, and cross-category consistency, rather than price alone.

Third, packaging is no longer viewed as a consumable supply, but as a brand infrastructure component supporting expansion and customer experience consistency.

Finally, European buyers at this level tend to prefer suppliers who can provide a repeatable packaging system, rather than fragmented product sourcing.

From Maibao’s perspective, this project further reinforced the role of packaging suppliers as long-term system partners in brand scaling rather than transactional vendors.
